Position purpose

To lead accounting operations and financial oversight for 8-Koi, a diverse Florida-based service and consulting company. The Controller maintains accurate financial records, prepares financial statements in accordance with generally accepted accounting principles (GAAP), safeguards company assets, and provides timely financial guidance to the Chief Executive Officer. The position improves accounting efficiency and supports sound business decisions, competitive bidding, and sustainable profitability.

Area of Responsibility

Company-wide accounting, financial reporting, cash management, internal controls, budgeting, and financial analysis across assigned business operations and projects. Provides financial oversight of accounts receivable and accounts payable and supervises assigned accounting and clerical staff.

Duties and responsibilities

Accounting operations and financial reporting

·       Oversee the general ledger and maintain accurate, complete, and timely accounting records, supporting documentation, and consistent account coding.

·       Manage month-end and year-end closing, including journal entries, accruals, prepaid expenses, depreciation, and reconciliation of balance sheet accounts.

·       Prepare and review GAAP financial statements, including the balance sheet, income statement, and statement of cash flows; provide supporting schedules and explain material changes to the CEO.

·       Reconcile bank accounts, bank statements, and company credit card accounts; verify receipts, business purpose, approvals, and proper expense allocation, and resolve discrepancies promptly.

Accounts receivable accounts payable and cash management

·       Oversee customer billing, accounts receivable aging, collections, and resolution of billing discrepancies; coordinate with project managers to ensure invoices reflect contract terms and completed work.

·       Manage accounts payable, including invoice verification, approval routing, vendor account reconciliation, payment scheduling, and prevention of duplicate or unauthorized payments.

·       Monitor cash balances and prepare rolling cash flow forecasts; recommend payment and collection strategies that maintain liquidity and meet company obligations.

·       Maintain banking relationships and support administration of credit facilities, financing arrangements, and lender reporting within authority established by the CEO.

Budgeting bidding and project profitability

·       Lead preparation of operating budgets and financial forecasts; compare actual results with budgets and recommend corrective action for material variances.

·       Partner with estimating, business development, and project management teams to evaluate bid pricing, direct and indirect costs, overhead allocation, contingency, and target profit margins.

·       Provide financial recommendations that support competitive bids and profitable contract awards; identify cash flow implications and financial risks before commitments are made.

·       Monitor job costs, project profitability, work in progress, billing status, and retainage where applicable; identify cost overruns and margin erosion and recommend timely action.

·       Review the financial effects of contract terms, change orders, purchasing decisions, and capital expenditures; advise the CEO on decisions in the company’s best interest.

Financial controls compliance and process improvement

·       Establish and maintain accounting policies, approval limits, segregation of duties, and controls that safeguard assets and reduce errors, fraud, and unauthorized expenditures.

·       Coordinate with external accountants, auditors, and tax advisers; provide accurate schedules and supporting records for audits, tax preparation, and required financial reporting.

·       Support applicable contract accounting and documentation requirements, including government contract cost tracking and audit support when assigned.

·       Identify and implement improvements to accounting workflows, software, automation, and reporting that increase efficiency, improve accuracy, and shorten processing and closing times.

·       Maintain secure financial records, appropriate access controls, and organized retention of accounting documentation.

Staff supervision and executive support

·       Manage assigned accounting and clerical staff through daily work allocation, training, coaching, and review of work quality and deadlines.

·       Provide the CEO with clear financial reports, performance indicators, recommendations, and timely notice of significant financial concerns.

·       Collaborate with department leaders and project managers to improve financial accountability and perform other related accounting and financial duties as assigned.

Core qualifications

·       Strong knowledge of GAAP, general ledger accounting, financial statement preparation, account reconciliation, accounts receivable, and accounts payable.

·       Ability to analyze budgets, cash flow, pricing, and profitability and translate findings into practical recommendations for company leadership.

·       Proficiency with accounting software and Microsoft Excel, including financial models, reconciliations, and management reports.

·       Ability to organize competing priorities, meet reporting deadlines, work independently, and maintain effective relationships with colleagues, customers, vendors, and external advisers.

Education and position experience

·       Bachelor’s degree in accounting, finance, or a related field preferred; an equivalent combination of relevant education and substantial accounting leadership experience may be considered.

·       Five or more years of progressively responsible accounting experience, including financial reporting and closing responsibilities, preferred.

·       Prior supervisory experience and experience as a Controller, Controller, Accounting Manager, or comparable financial leader preferred.

·       Experience with construction or project accounting, job costing, and government contracting preferred, as applicable to assigned operations.

·       Certified Public Accountant (CPA) or Certified Management Accountant (CMA) designation preferred.

Working conditions

Work is primarily performed in an office environment using accounting systems and electronic records. Additional hours may be needed during financial close, audits, budgeting, or other deadlines. Occasional travel to company locations or meetings with financial partners may be required.

Physical requirements

Ability to use a computer and review financial records for extended periods and participate in meetings and work-related communications. Essential job functions may be performed with or without reasonable accommodation.
